Holidays
“Original Employee” box cleared on holiday cancellation
If the “Original Employee” black box is displayed on a shift in the roster, then it will now be cleared if the holiday is cancelled.
Bank holiday shift auto cancel
It is now possible to change the behaviour of the exclude bank holidays feature of a service. When set, the new “Bank holiday shift auto cancel” feature causes shifts to be created and highlighted in purple on bank holidays (as opposed to supressed), where these shifts would normally drop, they will now move to the cancelled state and if a holiday is booked by right clicking on these shifts, they will also move to the cancelled state rather than the unconfirmed state.
This helps prompt the operations team to correctly allocate staff to holidays on bank holidays where this is appropriate.

Smartform data retention and purge
It is now possible to configure Smartforms so that old data is purged from the system after a period of time This is designed to help customers comply with their GDPR obligations when using Smartforms to store personal data.
Individual Smartforms can be excluded from the purge where they need to be retained eg. a police investigation.
Note: By default, all existing Smartforms are configured to retain for 7 years with all new Smartforms defaulting to 2 years retention. Reduced retention periods will help to clear old data and improve the performance of Smartform reporting

Electronic Timesheet sign off
SmartTask now includes the ability to fully systemise your weekly customer Timesheet sign off process.
Weekly Timesheets containing hours worked can be exposed to your customers through their customer portal where they can be accepted or rejected by your customers.
The solution lets your customers know when weekly Timesheets are ready to be signed off and reminds them and your operational team where sign off is still outstanding, it also ensures your accounts team are fully aware when timesheet sign offs remain outstanding during invoice runs. Timesheet acceptance can automatically email copies of the Timesheets to customers and your accounts team if required, with any rejections highlighted to your operations team with the customer reported reasons so they can be acted upon promptly.
To find out more contact your account manager.
Should you wish to make use of these exciting new features, we strongly recommend that you test them out to ensure you understand how they work before using them in your operation.
The SmartTask support team can help you set them up and if you find you would like these enhancements or any other parts of the system to operate differently, please contact your account manager to let them know, you never know your ideas may become part of a future update.
If you no longer want to receive this email or if you would like it to be sent to additional people within your organisation, please contact the SmartTask support team.
Thank you,
The SmartTask team.
